Terms and Conditions

Please read and agree to these Terms and Conditions before booking your holiday at Kelburn Yurts.

Booking and Payment

All bookings must be made by persons over 18 years of age. We reserve the right at all times, without statement of reasons, to refuse a booking. Full payment for your stay must be made at the time of booking. You will receive a confirmation email. The confirmation and details should be checked immediately on receipt for any errors.  Any discrepancies must always be notified by email or phone within 10 days following the date of the confirmation and in any case before the start of the stay. Acceptance of these terms and conditions is assumed at time of booking so please read them carefully before making payment.


Damages  

As part of our booking process, a refundable security deposit is required. You will receive a separate email two days prior to your arrival containing a secure link to authorise this deposit via our payment provider. This is an authorisation only, and no funds will be taken unless required following your stay. Small accidental damages of a minor nature will not normally be charged for.  Significant damage above the cost of the deposit must be paid for by arrangement. 


Group Bookings

The allocation of yurts to best accommodate a group booking will be considered but cannot be guaranteed.
When booking on the behalf of other people, it is the responsibility of the person making the booking to share these Terms and Conditions and any supporting information with the other guests. 


What’s Included with your Booking?

  • Rental of your yurt and appropriate furnishings, equipment and accessories (interior and exterior)

  • Bed linen and towels for the number of guests indicated in your booking.

  • Access to the Visitor Centre and grounds of Kelburn Estate

  • Free parking on site

  • Full use of the Bothy facilities, with includes communal living, dining and kitchen facilities, toilets and showers.

  • Cleaning service upon departure, including undressing of bed linens

  • A starter supply of quality firewood and kindling (more is available to purchase if required)

  • Heating, lighting and fresh water supply

  • Limited power outlets (Premium Yurts only)

Check in/Check out

Check in is between 3.00pm and 6.00pm. Check out is 11.00am
Later arrivals can be catered for at an extra cost of £10 and must be pre-organised to allow arrangements to be put in place for your arrival.

Occupancy

Occupancy of a Standard Yurt must not exceed 4 people including infants.
Occupancy of a Premium Yurt must not exceed 6 people including infants.
(Please note that travel cot beds are available to hire subject to availability, bedding not provided)
We reserve the right to decline accommodation and/or ask you to leave the site at any time if your numbers exceed your booking.  The booking will then be deemed cancelled with full loss of payment.

Changes to Booking
We will always do our best to facilitate alterations to your booking request but cannot guarantee this.

Cancellation/Refund Policy

Cancellations requested more than 60 days ahead of your arrival date will receive a 75% refund.
Cancellations requested between 60 days and 30 days ahead of your arrival date will receive a 50% refund.
If you cancel within 30 days of your stay you shall not be entitled to a refund.
In all cases of cancellation we will attempt to offer you new dates for your stay but this can not be guaranteed.
If you choose not to stay for the full duration of your booking you shall not be entitled to a refund.
In extreme circumstances Kelburn reserves the right to close the site.  In that instance Kelburn will offer a full refund or alternative dates as compensation.
(This policy does NOT apply to third-party bookings, e.g. booking.com)

Weddings and Private Events

The Yurt site is located near to our Pavilion Events Venue, which hosts weddings and private events throughout the year. Our current event dates will be listed on the booking website to make you aware that there may be loud music heard into the evening.

Being Respectful to Other Guests

Guests must be respectful to other guests on the site.
Loud noise, nuisance or anti-social behaviour will not be tolerated at any time.  We ask that all noise be kept to a minimum after 11pm.
Guests deemed by management to be causing nuisance may be required to immediately leave the site without a refund.

Complaints
Any complaints must be made known to us immediately so we can rectify any issues where possible to make your stay as comfortable as possible.
Refunds will not be considered at the end of your stay due to unreported complaints that could have been resolved if brought to our attention ahead of time.

Personal Belongings

Kelburn accept no liability for any belongings left in the Yurts at any time.
If you have valuable items that you wish to leave in a more secure place, please let us know and we will store these for you but still at your own risk.

Smoking and vaping

Smoking and vaping is not permitted inside the Yurts under any circumstances.  Please use designated smoking areas and do not litter tab-ends.

Grounds and Visitor Centre
Access to the Visitor Centre and grounds are included in your stay.  The Visitor Centre is open from 10am to 6pm.   After this time you are welcome to walk the wider glen and grounds but do so at your own risk.  Please be respectful of staff members living on the Estate.

Dogs

Our yurts offer pet-free and dog friendly options.  However, dog owners need to be aware that livestock and horses are nearby and accessible and that children staying on site should be safeguarded from harm or fear of dogs at all times.  Therefore all dogs must be kept under control on a lead or tethered whilst outside the dwelling. In the event of a dog attacking or chasing a sheep, the owner of the dog is liable for any damage caused. This can include injury, killing, or chasing the sheep in a way that causes financial loss.  This is in accordance with the Dogs Protection of Livestock Amendment (Scotland) Act 2021. Nuisance or dangerous behaviour reported regarding a dog on site will be investigated and necessary action taken. All dogs must be kept on a lead/tethered whilst outside the yurt.  Dog owners should provide dog beds and avoid allowing dogs onto beds and soft furnishings. Extreme mess or damage caused by a dog may incur the damages fee being claimed.
